Last updated: September 2026

Who we are

Aarva is a doctor-led private practice at 3 Midland Drive, Sutton Coldfield, Royal Town of Sutton Coldfield B72 1TU. Aarva is operated by Aarva Health and Wellness Clinic Limited, a company registered in England and Wales (company number 16734547). We are the data controller for the personal information described in this policy.

If you have any questions about this policy or how we use your information, contact us at bookings@aarva.net, call 0121 289 2777, or write to us at the address above.

The information we collect

  • Contact and identity details, such as your name, date of birth, address, email address and phone number.
  • Health information, such as your medical history, symptoms, test results, photographs taken for clinical purposes, treatment records and correspondence with other healthcare professionals.
  • Booking and payment details, such as appointment history and records of payments. Card payments are processed by our payment provider and we do not store full card numbers.
  • Website and enquiry information, such as messages you send through our forms, and technical information collected by cookies (see below).

How and why we use your information

  • To provide your care, including assessment, diagnosis, treatment, prescribing and follow-up.
  • To manage appointments, reminders and payments.
  • To reply to enquiries you send us.
  • To meet our legal and regulatory duties, including clinical record keeping, safeguarding and responding to complaints.
  • To send you news and offers, but only where you have agreed to this. You can unsubscribe at any time.

Our lawful bases

We use your personal information where it is necessary to provide the services you ask for (contract), to meet our legal obligations, or for our legitimate interests in running a safe and effective practice. Where you have given consent, for example to marketing, we rely on that consent and you can withdraw it at any time.

Health information is special category data. We process it where it is necessary for the purposes of preventive or occupational medicine, medical diagnosis and the provision of health care or treatment, under the supervision of health professionals who owe you a duty of confidentiality (UK GDPR Article 9(2)(h)).

Who we share it with

We only share your information when we need to, and never sell it. We may share it with:

  • other healthcare professionals involved in your care, such as your NHS GP, specialists or laboratories, where this is needed for your care or you have asked us to;
  • trusted providers who help us run the practice, such as our clinical records system, booking, payment, email and IT providers, under contracts that protect your data;
  • regulators, insurers or the police where the law requires or allows it, for example to protect someone from serious harm.

If any of our providers store data outside the UK, we make sure appropriate safeguards are in place.

How long we keep it

We keep medical records for the periods set out in professional and NHS records management guidance, which for adults is usually at least eight years after the last contact, and longer for some records. Enquiries that do not lead to an appointment are kept for twelve months. Marketing preferences are kept until you unsubscribe.

Your rights

You have the right to ask for a copy of your information, to ask us to correct it, and in some circumstances to ask us to delete it, restrict or object to how we use it, or transfer it to another provider. Some rights are limited for medical records we must keep by law. To make a request, contact bookings@aarva.net. We will respond within one month.

If you are unhappy with how we have handled your information, please tell us first. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

With your permission, we also use analytics and marketing cookies to understand how the site is used and to measure our advertising.
